This is a quick demonstration to get you across how to launch an engagement, in the event that the automated process fails as a result of an API error.
If we encounter an error with the Qualtrics API, and a phone engagement fails to generate call cards, we will need to manually generate and upload the Qualtrics survey links for the engagement.
Pulse will attempt to poll the Qualtrics API for the links 10 times. If it times out for each of those attempts and is unable to retrieve the Qualtrics links automatically, it will give you the option to manually upload them into the engagement. The rest of the engagement launching process will then take place as normal after this is done.
Step 1:
You will need to navigate to the engagement overview screen, by clicking on the engagement from the Engagement Library.
If the engagement has failed, you will see the orange button to manually upload the links, next to the 'review data' button.
Step 2:
Once Pulse is displaying the option to upload the links, you need to navigate to the 'distributions' tab of the Qualtrics project that is linked to this engagement. From there, click on 'personal links'.
If you don't see anything in this list, ensure that you are logged into the Qualtrics account that is linked with Pulse. The rest of the process cannot be completed if you are not logged into the correct account.
Step 3:
Depending on what sort of error has occurred, you might see something slightly different on this tab, than what is in the screenshot above. What you're looking for, is the distribution that contains the Engagement ID for the engagement that failed, at the time that you launched the engagement.
Depending on how many times you have launched this engagement, or how many other engagements use this Qualtrics project, your list might be quite full, so it is important that you are matching the engagement ID, and the date/time of the failed engagement launch.
Once you have found the right one, click on it to download the CSV that contains all of the survey links.
It is very likely that this list is either empty, or has less links in it than it is supposed to. For example, your engagement might have 400 students in it, and the Qualtrics interface might say that it has 400 links created. But when you click on it and open the CSV file, there are only 100 links inside.
Take note of the name of the contact list for that distribution, as you are going to generate links using that exact list of contacts. This detail is found in the red box of the screenshot.
Step 4:
Now that you have found the contact list name, it is time to generate the links. Click the blue 'Generate Links' button in the top right of the screen.
A popup will appear for you to navigate and select the correct contact list. Follow the flow of arrows, and once you find the contact list that you're searching for, be sure to click 'Select Entire Contact List'.
It helps to type in the search bar. Be sure to take note of the date and time in the list name. Especially for engagements that have been launched a number of times. They will have multiple lists that have the same Engagement ID. The only thing that will be different is the date and time.
Once you click 'Select Entire Contact List', click 'Generate Links'. Your CSV export should automatically download.
Step 5:
Once the CSV download is complete, open the file. All that you need to check, is that there is the correct number of students and links in this file. Don't edit anything and don't save once you close the document. We want to upload this CSV to Pulse in the same format that Qualtrics generates it. But we do need to ensure that Qualtrics has generated and exported the right amount of links before we proceed.
If it hasn't. Repeat this process to get another file. You should eventually get a correct file to export.
Step 6:
All that is left to do, is import this file into Pulse. Navigate back to the 'Engagement Overview' page that you opened to begin with, and click the orange 'Upload Distribution Links' button.
A popup will appear that allows you choose your file, and upload it.
Ensure not to close this tab or refresh the page after you click 'Upload'. There isn't a visual indication that the upload is taking place, at this point in time, but rest assured, it is uploading your file.
Once complete, you will see a green dialogue box that says "CSV file has been uploaded".
The process is now complete, and your calls will be generated automatically as they normally would.
